Operations Specialist

Carminati Consulting is seeking a dynamic Operations Specialist to help our consultants streamline our internal processes and operations to provide better client service. Growth will be measured by the eliminating pain points in internal operations, providing sold client support and assisting with the HR recruiting process.  

Compensation: Contract to Hire

  • Internal Operations Support
      • Strengthen our project management process by following PMBOK project methodology approach, establish a well define project toolkit
      • Coordinate internal meetings
      • Assist with Team Meeting Slides
      • Collaborate on and follow up with team on internal process improvement next steps (as defined by the committee)
      • JIRA optimization support / test and configure specific plug-ins within Jira to better optimize Jira for Carminati staff members needs
      • Help identify enhancements and rollout Project Plan committee’s updates
      • Assist with booking the holiday party, training, and other team-building events 
      • Coordinate lunch ‘n learns
      • Miscellaneous committee support
  • Client Support
      • Assist behind-the-scenes on identified client project needs, which may potentially include the following:
        • Flow chart creation
        • Process improvement consultation
        • Make select client PowerPoints more visual
      • Provide QA oversight on specific client engagements to ensure 100% client reference-ability
  • HR Recruiting Assistance
      • Assist with Job descriptions for new positions
      • Post Job Opportunities
      • Read/review Resumes
      • Help coordinate interviews for prospective employees
  • Financial Operations (Secondary Function)
      • Update project plans weekly for major accounts, with the goal to help find efficiencies
      • Collaborate with project managers on project management support / JIRA optimization
      • Run weekly project summary accountability report
      • Pull weekly employee utilization report 
      • Coordinate with team to compile, approve, and invoice clients at the beginning of each month
      • Pull itemized invoice detail and coordinate updates with the team
      • Manage Collections on Accounts Receivables
  • Business Development Support (Secondary Function)
    • Salesforce pipeline coordination, follow up with prospects, 
    • Create Salesforce reports 
    • Draft Customer Proposals and Agreements
    • Craft and send SF mass emails 
    • Project manage RFP submissions 
    • Assist with RFP proposal writing
    • Package final RFP submissions, printing, crafting correspondence; delivery coordination
    • Attend RFP pre-submittal meetings, coordinate vendor questions
